- WhatsApp phone number — used to identify your account and communicate with you via the Selwyze bot.
- Business name — provided during onboarding to personalise your experience.
- Chat export files — WhatsApp .txt files you voluntarily upload. These are processed to extract order and customer data.
- Order data — information you submit in our structured order format (customer name, product, quantity, price, delivery).
- Usage data — commands you send to the bot (e.g. "weekly report", "UNPAID") and timestamps of interactions.
We do not collect payment card details, bank account numbers, or financial credentials of any kind.
2. How We Use Your Information
We use your information solely to provide and improve the Selwyze service:
- To generate your business analytics (revenue reports, customer insights, product performance)
- To send you automated insights, alerts, and reports via WhatsApp
- To identify at-risk customers and generate loyalty tracking on your behalf
- To improve the accuracy of our chat parsing and analytics engine
- To communicate with you about your account and service updates
We do not use your data for advertising, profiling unrelated to our service, or any purpose beyond delivering Selwyze to you.
3. WhatsApp Data & Chat History
When you upload a WhatsApp chat export (.txt file), the file is processed to extract structured business data — customer names, product names, order amounts, and dates. This processing is done using AI and automated systems.
Important details about your chat data:
- We only process files you deliberately send to the Selwyze bot. We do not access your WhatsApp account directly.
- Chat files are processed and then the raw file is deleted. We retain only the structured data extracted (orders, customers, products).
- We do not store personal conversations, images, voice notes, or any content unrelated to business orders.
- Your end customers' personal information (names as mentioned in chats) is stored only as part of your business records and is not shared with any third party.
Your chat history is used only to build your business database. Raw chat files are not retained after processing.
4. Data Sharing & Third Parties
We do not sell, rent, or trade your personal information. We may share data with the following categories of trusted service providers strictly to operate Selwyze:
- Meta (WhatsApp Business API) — to send and receive WhatsApp messages on your behalf. Subject to Meta's own privacy policy.
- Cloud infrastructure providers — to host our database and application securely.
- AI processing services — to parse your chat exports. Data shared is limited to the content of files you upload.
All third-party providers are bound by data processing agreements and may not use your data for their own purposes.
We may disclose your information if required by Nigerian law, court order, or to protect the rights and safety of our users.
5. Data Retention
We retain your data for as long as your Selwyze account is active. Specifically:
- Structured business data (orders, customers, products) — retained for the lifetime of your account.
- Raw chat export files — deleted immediately after processing is complete.
- Bot interaction logs — retained for 90 days for debugging and service improvement.
If you close your account, we will delete all your data within 30 days of your request, except where retention is required by law.
6. Security
We take the security of your business data seriously. We implement the following measures:
- All data is encrypted in transit using TLS/HTTPS
- Database encryption at rest
- Access to production systems is restricted to authorised personnel only
- Regular security reviews of our infrastructure

8. Children's Privacy
Selwyze is a business tool intended for adults operating businesses. We do not knowingly collect data from individuals under the age of 18. If you believe a minor has provided us with data, please contact us and we will delete it promptly.

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. When we make significant changes, we will notify you via WhatsApp message before the changes take effect.
Your continued use of Selwyze after the effective date of any changes constitutes your acceptance of the updated policy.
